THE ROLE
Our client, a subsidiary of a global financial services organisation, is seeking an Executive Assistant to support their Senior Vice President.
This is an incredibly involved role, requiring exceptionally organised, proactive support, as the SVP frequently travels abroad.
You will be required to undertake extensive travel arrangements, putting together itineraries and coordinating flights and accommodation, as well as ensuring that all of the SVP’s requirements are covered. Furthermore, you will regularly be required to liaise with other Senior EA’s globally, to provide a point of contact for the VP’s office.
High levels of diary management will also be required, arranging both internal and external meetings, undertaking research on behalf of the SVP and ensuring that meetings are fully prepared for and all action points are addressed. You will also organise Board Meetings, coordinating attendance, minute taking and following up action points.
Other duties will include email and expense management on behalf of the SVP, drafting and managing communication from the SVP’s office, and providing support to the European Head of HR when required.
WHO WE'RE LOOKING FOR
We are seeking an experienced, initiative-driven EA with a proven track record of supporting at an international level, and exceptional organisational skills. Our client is open to sector experience, provided that candidates have supported at an international level and are used to coordinating diaries across multiple time zones.
The successful candidate will combine superb time management skills with the ability to communicate at all levels and maintain a professional demeanour at all times. You will be comfortable working to tight deadlines on your own intiative, prioritising your workload as necessary. A flexible and enthusiastic approach to your work is essential. It is also imperative that you appreciate the importance of discretion with regard to sensitive and confidential information.
Advanced MS Office skills are a must, and experience of using Lotus Notes would be highly advantageous.
